Who can attend EPIC2022?

Anyone can register and attend! If you’re not already an EPIC member, an annual membership fee will be added to your registration rate (US$150).

What is the registration deadline?

Before COVID, our in-person conferences sold out in 24–48 hours—so please plan ahead! Registration for virtual participation will be open through October 30. If you have questions about payments or purchase orders, please contact us: registration@epicpeople.org.

Please note: Popular tutorials can also sell out very quickly; capacity for each tutorial is just 20–25. You can buy tutorial tickets during or after conference registration.

What is included in the full registration?
  • Learning & Networking Week online (Oct 2–6)
  • Main Program in Amsterdam (Oct 9–12)
  • On-demand video access to all presentations in the Main Program after the conference

There is an extra fee for:

  • Tutorials
  • Conference Dinner
Are meals included in the fee for full registration?
The fee for full registration includes:

  • Oct 9: Opening reception with drinks and hors d’oeuvres
  • Oct 10 & 11: Morning & afternoon coffee/teas; full lunch
  • Oct 12: Coffee/teas

Tickets for the Conference Dinner are an additional US$90

Is there a conference hotel?

We do not have a room block at a specific hotel, but offer a list of recommended hotels close to Felix Meritis here. If you would like to connect with other attendees about sharing a room or Airbnb, we suggest connecting on the Ethnography Hangout Slack, #epic_org channel (please request a Slack invitation if you haven’t joined the space in the past: registration@epicpeople.org).

What is Learning & Networking Week?

Learning & Networking Week was a COVID innovation that our members around the world valued immensely, and we’re excited to make this virtual event an EPIC tradition. Going virtual in 2020 and 2021 expanded access, and we believe that our community has been enriched by global participation. We learned that we can “be EPIC” anywhere and that both experiences have unique value. Programming on our interactive platform includes tutorials, networking events, social gatherings, sponsor presentations and recruiting events, and some new experiments.

Learning & Networking Week is included in all registration types, but there is an extra fee for tutorials ($100 each).

I have a membership, but I see a non-member price.

If your conference registration in 2021 included a one-year membership, your ticket this year will include $150 for another year of membership (the new term will begin when your existing term ends).

Do I qualify for the discount or student price?
  • Regular Price: Choose this price if your fees will be paid or reimbursed in whole or in part by your organization.
  • Discounted Price: Choose this price if your fees will NOT be paid or reimbursed in whole or in part by your organization.
  • Student Price: Choose this price if you are enrolled in an undergraduate or graduate program at an accredited institution and your annual income is less than US$50,000. You will be asked to upload a photo of your student ID or other proof of enrollment.

We don’t require documentation for the discounted price. If you are purchasing a student ticket, you will be asked to upload a photo of your student ID or other proof of enrollment, but we do not require any proof of income. EPIC is a nonprofit, volunteer-driven organization.

Do presenters pay the full registration fee?

Yes. Some Financial Inclusion discounts are available for presenters; these can be requested after proposals are accepted. Otherwise: our conference is small, and a high percentage of attendees are presenters—this maximizes participation and the value of the experience. But we can’t discount presenter registration without radically reducing the number of speakers who participate (our doubling prices!). EPIC is a volunteer-driven nonprofit, and registration fees directly fund the event. Student rates are available; review fees here.

Can I wait to register until I know whether my submission is accepted?

We will hold space for presenters until July 6. If you want to attend, regardless of whether your proposal is accepted, please register when registration opens on May 31—in the past our conference has sold out in 24–48 hours.

I want to attend in Amsterdam, but tickets are sold out.

We encourage you to purchase a virtual registration ticket and join the waitlist for full registration. If a space becomes available, we’ll contact you to upgrade your ticket.

What if the conference is canceled due to COVID restrictions?

If EPIC cancels due to local restrictions that prevent our gathering, the program will be delivered virtually. Full tickets will be converted to virtual tickets, and you will receive a full refund of the price difference.

  • Full registration
    • You may transfer to a colleague or someone on the waitlist through Sept 1 ($50 fee; we will arrange transfer to the waitlist for you)
    • You may convert to a virtual ticket through Sept 1; price difference will be refunded
    • Full refunds are not available
  • Virtual registration
    • Refundable through Sept 1 ($25 fee)
EPIC 2022 COVID statement

EPIC2022 will be an in-person event for the first time in three years. Given that the Covid-19 pandemic is ongoing, it is important that we collectively take steps to maximize the safety and comfort of participants. The Dutch government currently has few restrictions in place: facemasks are no longer mandatory, and social distancing, while encouraged, is not effectively practiced.

We will strictly follow any safety measures that are required by local and national authorities at the time of the event. In addition, either EPIC as the event organizer or the event venues as independent organizations may at any time implement requirements depending on current conditions, including but not limited to:

  • Indoor masking
  • Vaccination requirements
  • Testing requirements

Health is collective, and we ask attendees to be considerate of others, as well as take individual measures they feel necessary to protect themselves. You are welcome to wear facemasks. We ask you to practice distancing where feasible, wash your hands, and do not attend if you feel ill.
